Refund Policy

1. Overview
Clever Hub (Private) Limited (“CleverHub”, “we”, “us”, or “our”) is committed to fair and transparent billing. This Refund Policy explains when refunds are available, how to request one, and how the refund will be issued. By making a payment to CleverHub you acknowledge that you have read and accepted this policy together with our Terms & Conditions.
Refund Method
All approved refunds will be issued to the same payment method (payment-initiated media) that was used for the original transaction. We do not issue refunds via cash, bank transfer to a different account, cheque, or to any third party, unless the original payment method is no longer available, in which case we will work with our payment processor (PayHere) to determine an appropriate alternative.
2. Refund Eligibility (Case-by-Case)
Because our services are highly customised, refund requests are evaluated on a case-by-case basis. The following general principles apply:
Generally Refundable
- Advance payments or deposits where work has not yet commenced (full refund minus any third-party costs already incurred on your behalf).
- Duplicate or accidental charges.
- Payments where CleverHub is unable to deliver the agreed scope due to reasons within our control.
- Subscription or retainer fees — pro-rated for the unused portion of the current billing cycle when cancellation is requested in advance.
Generally Non-Refundable
- Consulting hours, workshops, training sessions, or advisory work already delivered.
- Custom development work for which coding, design, or research has already commenced (a partial refund may be considered, less the value of work completed and third-party costs).
- Rapid Prototyping or proof-of-concept fees once the prototype has been delivered.
- Discovery, scoping, or strategy fees once the corresponding document has been delivered.
- Third-party pass-through costs already incurred — including but not limited to AI model API credits (OpenAI, Anthropic, Google, etc.), cloud hosting, domain registration, SSL certificates, software licences, fine-tuning compute, and paid integrations.
- Payment processing fees charged by PayHere or any other payment provider.
- Requests submitted more than seven (7) days after the date of payment, unless required by applicable law.
3. How to Request a Refund
Send a written refund request to [email protected] within seven (7) days of the original charge, including:
- Your full name and the email or account used for the payment.
- The PayHere transaction reference or invoice number.
- The date and amount of the payment.
- A clear reason for the refund request and any supporting documentation.
4. Review & Processing Timeline
- We will acknowledge your request within two (2) business days.
- We will review and respond with a decision within five (5) business days of receiving the complete request.
- If approved, the refund will be initiated within seven (7) business days of approval and credited to the same payment method used for the original transaction.
- Depending on your bank or card issuer, the refunded amount may take an additional five (5) to fourteen (14) business days to appear on your statement.
5. Cancellations
You may cancel a subscription or recurring engagement at any time by emailing [email protected]. Cancellations take effect at the end of the current billing cycle unless otherwise agreed. No further charges will be made after the cancellation effective date.
6. Chargebacks & Disputes
We encourage you to contact us first so we can resolve any issue directly. Initiating a chargeback or dispute through your bank or card issuer without first contacting us may result in suspension of access to the Services pending resolution. We reserve the right to contest chargebacks that we believe are unjustified.
7. Changes to this Policy
We may update this Refund Policy from time to time. The revised version will be posted on this page with an updated effective date.
